Who we help

Who we work with

We work with property owners regardless of whether they live in the same city, elsewhere in Poland, or abroad.

Owners living abroad

If you live outside Poland, we can manage the letting process without requiring your constant presence on site — from preparing the listing and viewings to documents, signing the agreement and handing over the keys.

Investors

We assist owners who have purchased a property as an investment for rental. We analyse the local market, help set the asking price, find a tenant and coordinate the contract process.

Owners with no time to manage letting

We take over the organisation of the letting process — property and listing preparation, viewings, communication with candidates, preliminary tenant screening, paperwork and property handover.

What we do

Full-service property letting

We manage the entire process — from property preparation and listing publication to selecting a tenant, signing the agreement and handing over the keys.

01

Property preparation

We assess the property's condition and advise on how to get it ready for letting. If needed, we help arrange cleaning, minor works or other tasks required before viewings begin.

02

Professional listing presentation

We arrange professional photography and write a compelling property description that highlights the key features and rental terms.

03

Listing publication

We publish the listing on the leading property portals, including Otodom and OLX, and use VT Group's own channels to reach potential tenants.

04

Tenant search and screening

We handle enquiries and carry out a preliminary screening of candidates. Depending on the situation, we review submitted documents and information about employment and income.

05

Viewings and negotiations

We organise property viewings, communicate with candidates and agree rental terms in line with the owner's requirements.

06

Tenancy agreement

We coordinate the preparation and signing of the tenancy agreement and review all transaction-related documents.

07

Najem okazjonalny

If the owner chooses the najem okazjonalny tenancy form, we help prepare the required documents and coordinate the formalities involved in concluding such an agreement.

08

Property handover

We coordinate the handover of keys and preparation of the handover report, and help ensure the property is properly transferred to the tenant.

Fee

How much does letting your property cost?

50–70% of one month's net rent

VT Group's fee for managing the property letting process is 50–70% of one month's net rent. The scope of services and terms of the engagement are agreed before work begins.

If after letting your property you also need ongoing tenancy management, we can offer that as a separate service. Its scope and price are determined individually.

Our process

How we work together

From the first conversation to handing over the property to the tenant — we coordinate the entire process and keep the owner informed at every stage.

01

Consultation and property analysis

We get to know the property, the owner's expectations and the intended start date. We analyse the local market and help establish the rental conditions and asking price.

02

Property and listing preparation

We help prepare the property for viewings, arrange photography and prepare all materials needed for the listing.

03

Finding a tenant

We publish listings, handle enquiries, organise viewings and carry out a preliminary screening of candidates.

04

Agreement and formalities

Once a tenant is selected, we coordinate document preparation and signing. If needed, we also assist with formalities related to najem okazjonalny.

05

Property handover

We coordinate the key handover and preparation of the handover report, ensuring the start of the tenancy is properly documented.

Tenant screening

We screen candidates before the agreement is signed

Before presenting a candidate to the owner, we carry out a preliminary review of the information relevant to the specific tenancy.

Identity

We verify the candidate's identity document and the basic details required to prepare the tenancy agreement.

Employment and income

If required by the owner or the nature of the transaction, we request documents confirming employment or other sources of income.

Tenancy conditions

We confirm the number of occupants, the intended rental period, the move-in date and other information relevant to the owner and the specific property.

Owner's decision

We provide the owner with the information needed to make a decision. The final choice of tenant always rests with the property owner.

Remote letting service

You can let your property without being on site

The owner does not need to be personally involved in every step of the process. This is particularly convenient for those living in another city or outside Poland.

We coordinate listing preparation, communication with candidates, viewings, documents and property handover. The owner receives updates on the progress and makes the key decisions regarding tenant selection and tenancy terms.

  • Communication with candidates
  • Organising viewings
  • Preliminary tenant screening
  • Document coordination
  • Organising contract signing
  • Property and key handover

The scope of activities that can be handled remotely is agreed individually depending on the property, the documents and the form of agreement chosen.

Property management

We can look after your property after it has been let

If you don't want to manage the tenancy yourself, once a tenant is found we can also take over property management. This is a separate service tailored to the owner's needs.

The scope and price of property management are determined individually.

Questions & answers

Frequently asked questions from owners

How much does it cost to let an apartment?

VT Group's fee for managing the property letting process is 50–70% of one month's net rent. The terms of the engagement and scope of the service are agreed before work begins. If the owner also needs ongoing tenancy management afterwards, the scope and price of that service are set individually.

What does the property letting service include?

The scope can include property and listing preparation, listing publication, contact with candidates, organising viewings, preliminary tenant screening, negotiations, document and agreement coordination, and property handover.

How do you screen potential tenants?

We carry out a preliminary screening of candidates and, depending on the conditions of the specific tenancy, review submitted documents and information about employment and income. The owner receives the information needed to make a decision, and the final choice of tenant always rests with them.

Can I let my apartment while living outside Poland?

Yes. We can organise a significant part of the process without the owner's constant presence on site. The scope of the service is agreed individually depending on the property, the documents and the form of the agreement.

How long does it take to find a tenant?

There is no single timeframe for every property. The time needed to find a tenant depends on factors such as the city, location, standard, asking price, season and current demand. Before starting, we analyse the property and help establish terms suited to the current market.

Do you help with najem okazjonalny tenancies?

Yes. If the parties decide on a najem okazjonalny tenancy, we help prepare the required documents and coordinate the formalities involved.

What if the tenant stops paying?

If the property is covered by the tenancy management service, we contact the tenant in the event of a delay and keep the owner informed. Depending on the agreement and circumstances, we help determine next steps, and where legal assistance is needed, it is possible to bring in legal support.

Can you continue looking after the apartment after finding a tenant?

Yes. Ongoing tenancy management is a separate service. It can include communication with the tenant, payment monitoring, coordination of day-to-day matters and organising repairs and maintenance. Scope and price are set individually.

Which cities do you operate in?

We work with properties in Warsaw, Kraków, Łódź, Wrocław, Poznań, Gdańsk, Szczecin, Bydgoszcz, Lublin, Katowice and Białystok. Our ability to service properties in other locations is determined on a case-by-case basis.
